Hartmann Antriebstechnik Request A-2291 · Flange shaft FW-220
Good morning Ms Schneider. For your request of 400 flange shafts FW-220 we are still missing four details. Do you have two minutes?
Yes, gladly.
Thank you. Which material should it be: 42CrMo4 as on the last order, or stainless steel?
As last time. This time please burnished, though.
Understood: 42CrMo4, burnished. By when do you need the parts at the Ulm plant?
Week 49 at the latest, preferably in two partial deliveries.
Noted. Does the invoice go to your Stuttgart head office again?
Yes. And what is the status of order 4711?
Order 4711 is in production, dispatch planned for 14 November. I have passed your four details to Mr Weber. He will come back with the quote.

The problem

A quote rarely waits for much. Usually for three answers.

Material, delivery date, invoice address. Every sales team knows it: the question is small, the chasing costs days.

How it works

From the open question to a maintained record.

01

Set the open points

You decide what still needs to be clarified and attach context: quote, drawing, earlier orders, or data straight from the CRM. Recurring follow-ups you save as a template.

Material Delivery date
02

Send the link

By email, messenger, or out of the CRM. Your customer opens the chat with no install and no account, answers at their pace, and can continue later.

03

Take the answers

Desk writes the answers into fields, adds a short summary and marks what is still open. Everything lands on the right record.

Material: 42CrMo4 Delivery date: week 49

CRM and project status

Desk asks. And reports back.

Desk takes its context from your CRM and writes the answers back. Because it knows the approved project status, your customer can use the same link to ask where their order stands.

Your CRM

Context for the request

  • Contact, company, history
  • Required fields that are still empty
  • Quotes, drawings, specifications
  • Approved status and dates

Common questions

Where is the data stored?

In data centres in Germany. All processors are based in the EU and process data there. There is no transfer to third countries. You receive the data processing agreement and the list of processors before the contract starts.

Does my customer have to install anything or create an account?

No. Your customer opens the link in the browser, on a computer or a phone, and answers directly. No account, no app.

What if my customer does not know something right away?

They can pause the conversation and continue later through the same link. Open points stay marked. If you want, Desk sends a reminder.

Can Desk promise something that is not true?

Desk works only with what you attach to the request or release in the CRM. On prices, dates or topics outside that frame, Desk makes no promise and hands over to your contact.

Which CRM systems are supported?

Ready-made connections for the usual CRM systems in the mid-market, set up in the pilot. Everything else, including ERP, we connect through REST API and webhooks. Without a connection you export results as PDF or CSV. Which systems you use, we clarify in the demo.

Which languages can Desk ask in?

Desk holds conversations in German and English. Results always arrive in your language. If your customer answers in another language, Desk hands over to your contact. Further languages are released only after they are tested.

What if we need more clarifications than the plan includes?

Further clarifications are billed at the rate of your plan: €4 on Starter, €3 on Professional, €2 on Enterprise. If demand stays higher, you move to the next plan at any time.

How soon can we start?

You create the first request in Desk with no integration. The CRM connection usually takes two to four weeks, depending on the system and approvals in your IT.

In 30 minutes we walk through it with Desk, with your CRM if you want.
